Communications Assistant, Editorial

(Based in Bogor, Indonesia)

Vacancy: Communications Assistant, Editorial
(Nationally recruited position, based in Bogor, Indonesia)

The Communications Assistant, Editorial is a member of the Information Services Division and will report to the Writer/Editor.

Responsibilities:

  • Provide support services to the writer/editor, as well as web and graphic design units linking editorial quality assurance to graphic design, web, and dissemination activities
  • Act as the central clearing house for managing relationships with suppliers of writing, editing and translation services, including:
    • Maintain CIFOR’s roster of external suppliers of writing, editing and translation
    • Formalize agreements for each assignment
    • Ensure all suppliers are provided accurate guidelines for each assignment
    • Monitor service delivery and deadlines
    • Ensure all suppliers are paid according to CIFOR’s guidelines
    • Develop and update on a weekly basis the schedule of writing, editing and translation assignments
    • Keep stable of suppliers up-to-date with editing policies at CIFOR.
  • Prepare the agendas for the publications committee meetings and maintain records of submissions and decisions
  • Provide costing and budget estimates for editorial activities.
  • Work with the Data and Information Management group and the Outreach group to maintain up-to-date boilerplates, templates, icons and specifications that define CIFOR’s editorial products
    • Maintain the CIFOR style sheet with quarterly updates from the writer/editor
  • Prepare documents in various formats
  • Proofread documents in Indonesian

Requirements:

  • University degree (S1) graduate preferred, preferably from communication, journalism, language or cultural department
  • At least 3 (three) years of professional experience in administrative work in a multilingual environment.
  • Excellent written and spoken English and Indonesian
  • Proven ability to work with individuals from different cultural/national backgrounds
  • Good interpersonal and communication skills
  • Ability to work under minimum supervision
  • Ability to work to meet tight-deadlines
  • Familiarity with MS Word especially tracking changes and table formatting.

The optimal candidate would have experience in some of the following working environments:

  • Publishing, journalism or public relations
  • Outreach and dissemination through web-based channels

Duration of appointment:

Initial contract will be for one year, with possibility of extension contingent upon performance, continued relevance of this position and available resources
